Position Objective

The Benefits Coordinator’s primary responsibility will be to assist in the day-to-day administration of the KMBS Benefits program as well as provide support for the management and administration of the company’s employee benefits program and the HRIS needs of HR. We seek an individual with mathematical and systems aptitude and a strong working knowledge of employee benefits, policies and procedures. The ideal candidate will be capable of performing audits, reconciliations as well as implementing solutions, creating, analyzing and reporting within the HRIS/Benefits system.

Essential Job Functions
  • •    Provide employees with information and act as primary point of contact regarding all aspects of Benefits including but not limited to: open enrollment, new hires, family status changes, leave of absence notifications, COBRA notifications, Life Insurance conversion letters, medical support orders, employee referral bonus program, 401(k).
    •    Administer Leave Of Absence programs (STD, LTD, FMLA, Worker’s Comp) according to company policies and procedures.  Work with vendor to complete required notifications and notify Payroll of status changes and payroll adjustments.  Prepare and send additional employee communications if required.  Liaise with managers during employee leave if additional information is needed and to give status updates.     
    •    Assist with updating benefit information in the on-line enrollment system and/or HRIS.
    •    Process letters and prepare Benefits packages for newly hired employees.
    •    Maintain a spreadsheet for tracking expenditures for all invoices and submit payment processing requests.
    •    Run weekly, bi-weekly, and monthly reports and manipulate in Excel as needed.
    •    Perform general duties & special projects as requested, e.g., annual plan audits, system plan changes, etc.
    •    Lead/assist with benefits team projects to include implementation & redesign of plans; development of employee communications; assistance with the evaluation, planning & administration of all the company’s benefit plans and programs
    •    Conduct audits for special projects after launch of new projects or processes; periodic vendor payment audits, eligibility verification audits; benefit enrollment audits to ensure quality standards and (confirm compliance with standard operating procedures)
    •    Vendor management—addresses administrative and work flow challenges; billing and compliance monitoring
    •    Supports and suggests process enhancements and automation where possible
    •    Conduct analyses and create reports to evaluate effectiveness and efficiency of processes and compliance of all benefit programs
    •    Provide benefit related customer service support to employees, including inquiries and issues
    •    Other projects as assigned or organizational needs change
Competencies (Knowledge, Skills and Abilities)
  • •    Must be proficient in Microsoft Word and Excel.  
    •    Must be a team player in a fast paced environment.
    •    Must be well-organized and very detail oriented.
    •    Ability to maintain confidentiality.
    •    Must have understanding of FMLA, HIPAA, health and welfare plans, ERISA and 401(k).
    •    Excellent quantitative aptitude and analytical/problem-solving skills
    •    Excellent time management skills, organization and ability to work with competing priorities
    •    Strong interpersonal skills with ability to communicate in a clear, informative style and present numerical data effectively
    •    Ability to work independently and as part of a team
    •    Skill in managing projects from inception to conclusion
    •    Must understand payroll processes and benefit plans
Experience, Educational Reqts and Certifications
  • •    2+ years of benefits administration and HRIS experience.
    •    BA or BS Degree required
    •    Two or more years of progressively more responsible experience in employee benefits Proficiency in Microsoft Office products/programs
