Job Title:  Executive Assistant

Position Objective

The executive assistant is responsible for providing administrative support to the company vice president (or a head of the department) in order to enhance the vice president’s effectiveness. The executive assistant serves as the primary point of contact on behalf of the vice president and must exercise discretion and confidentiality.

The executive assistant will have the ability to provide complex and diversified administrative support with minimal supervision. Anticipate the needs of the vice president and proactively solve problems and/or independently handle issues.

Essential Job Functions

•    Act on behalf of the vice president regarding establishing priorities and identifying and resolving problems that are administrative in nature. Use independent judgment to keep vice president informed of all matters that require his attention.
•    Complete a broad variety of administrative tasks for the vice president including completing expense reports and composing and preparing correspondence that is sometimes confidential
•    Communicates directly with external business partners on behalf of the vice president
•    Act as a liaison between Headquarters in Japan, US and KMBS office for corporate related communication and management.
•    Prepare reports and analyses, identify adverse trends and make appropriate recommendations or conclusions
•    Assist the vice president in creating agendas, presentation materials, and meeting minutes
•    Acts as a gatekeeper to create win-win situations for the vice president and other upper management
•    Maintain credibility, trust, and support with internal departments
•    Provide administrative support to improve the organization’s work environment, to build
employees’ motivation, and to increase effectiveness
•    Manage multiple projects simultaneously. Anticipate and track initial dates, events and associated action items; follow up with appropriate parties on behalf of vice president to ensure deadlines are met
 •    Investigate, prioritize, and solve incoming issues and concerns addressed to the vice president including those of a sensitive or confidential nature.
•    Build external relationships crucial to the success of the organization
 
•    Manage a variety of special projects including social event for the vice president, some of which may have organizational impact.
•    Office management of San Mateo office including, office supplies, mailing & shipping, visitors support, and office maintenance activity.
 

Competencies (Knowledge, Skills and Abilities)
  • LANGUAGE SKILLS

Ability to communicate effectively through writing and speaking to individuals and large groups in English is required. Ability to speak, read and write Japanese language is required.

  • SKILLS/ KNOWLEDGE BASE/COMPETENCIES

Strong communication and interpersonal skills, problem-solving skills, general understanding of business operations, company structure, and department functions, ability to maintain professionalism under pressure, ability to work well independently and with a team.

Experience, Educational Reqts and Certifications
  • A bachelor's degree and at least seven years supporting a C-Level or high level senior executive is required.
